I. Tenure and Promotion
Our records show that the faculty members whose names appear on the enclosed list are to be considered for tenure during the 2007-2008 academic year. Please check the list and confer with your department heads to make sure we are in agreement on these tenure review dates. If there are omissions, please provide the names of those faculty members who should be included on the tenure review list. If you do not receive a list of faculty with the paper copy of this memo, our records indicate that you do not have faculty members scheduled to be reviewed for tenure during the 2007-2008 academic year. If this information is incorrect, please notify me immediately.
I have enclosed copies of the Faculty Evaluation Calendar and a guideline for department heads which has been sent to those faculty members who, according to our records, are scheduled for tenure review this fall. Our records do not indicate which faculty members may be eligible for promotion. Deans and department heads must identify these individuals and see that this information is distributed to them. The form “Summary Sheet: Recommendations for Promotion and/or Tenure” is to be used in submission of dossiers to be reviewed by college committees.
When the Chancellor’s Office forwards dossiers to the President with a recommendation to grant tenure or promotion to an individual whose native language is not English, we are required to include a statement certifying that the candidate is sufficiently competent in English to be able to perform his/her duties. Rather than asking for certification after the fact, we are now asking each dean or department head to forward this information for all appropriate candidates for tenure and/promotion. For colleges with departments, we would ask the dean to compile a complete college list to be submitted along with the dossiers to the Provost’s Office.
An original and three copies of the summary sheet and dossier for promotion and tenure cases, along with the English competency memo, and one copy of their CV should be submitted to the College Office no later than January 4, 2008, and submitted to the Provost’s Office no later than March 3, 2008.
II. Retention of Probationary Faculty
The form entitled “Annual Recommendation on Retention of Tenure-Track Faculty” is to be used when submitting results of retention reviews. Please pay close attention to the schedule of due dates for tenure-track faculty who are not going to be retained. These dates are included on the Faculty Evaluation calendar.
III. Annual Evaluations of Faculty
The dean should forward the Faculty Annual Evaluation Reports for each faculty member to the Provost’s office no later than May 1, 2008. In addition, the dean should prepare a spreadsheet listing all faculty, with their rank and rating (exceeds expectations, meets expectations, needs improvement, unsatisfactory) organized by academic department to accompany the reports.
Please note that the forms to be used for retention, faculty evaluation, and the summary sheet for promotion and tenure recommendations can be found in the Manual for Faculty Evaluation on pages 29, 30, and 41. (Several departments did not use the new forms for the 2006-07 evaluations; please alert these departments about the existence of the new forms.)
IV. Annual Evaluations of Department Heads
The dean should forward evaluations of department heads to the Provost’s office no later than May 30, 2008. Please note that the Faculty Handbook requires deans to prepare a summary assessment of each department head, including goals established for the coming year, which is available for inspection by departmental faculty.
